This position is available for an Administrative Assistant starting immediately.

Responsibilities (but not limited to)

  • Identifies trendsetter ideas by researching industry and related events, publications, and announcements; tracking individual contributors and their accomplishments.

  • Locates or proposes potential business deals by contacting potential partners; discovering and exploring opportunities.

  • Screens potential business deals by analyzing market strategies, deal requirements, potential, and financials; evaluating options; resolving internal priorities; recommending equity investments.

  • Develops negotiating strategies and positions by studying integration of new venture with company strategies and operations; examining risks and potentials; estimating partners' needs and goals.

  • Closes new business deals by coordinating requirements; developing and negotiating contracts; integrating contract requirements with business operations.

  • Protects organization's value by keeping information confidential.

  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.

  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

  • Maintain various records and documents for company executive(s)

  • Draft, review and send communications on behalf of company executive(s)

  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings

  • Answer and respond to phone calls, communicate messages and information to the executive

  • Prioritize emails and respond when necessary

  • Reports directly to the Managing Director.

EDUCATION & EXPERIENCE

  • Post-Secondary Diploma would be considered as an asset.

  • Minimum 1-2 years of experience in administrative assistance/ reception.

  • Experienced in trend research and management.

  • Experience in Audio-Visual company would be ideal but not required.

  • An exhibited quality to recognize and foster new opportunities and pursue them.

  • Ability to perform various tasks successfully, focus on competing requests, and meet tight timelines while keeping up with quality.

KEY COMPETENCIES

  • Must be able to read, write and communicate fluently in English and have proper grammatical speech.

  • Understand and adhere to professional a/v industry requirements.

  • Have a professional personal presentation that is appropriate for a corporate environment.

  • Have exceptional customer service/ collaboration skills.

  • Be an efficient and detailed organizer and planner with attention to detail.

  • Have Initiative, be reliable, and able to cope with stress tolerance.

  • Strong IT skills, proficient in Microsoft Office Suite (work,excel, powerpoint, office etc.).
